How RenVocate CIC collects, uses, stores and protects personal information.

Who we are

RenVocate CIC (company number 17400160, registered in England and Wales) is responsible for personal information collected through this website and our own services. Privacy enquiries can be sent to info@renvocate.org.uk or through our contact form.

Information we may collect

Depending on how you contact or engage with us, we may collect:

  • your name, email address, telephone number and contact preferences;
  • the nature of your enquiry and information you choose to provide;
  • programme, event, attendance and accessibility information;
  • communications, feedback and concerns;
  • limited technical and security information created when you use the website; and
  • special-category information, such as racial or ethnic origin or health information, only where it is necessary and appropriate for the support or programme concerned.

Please do not send passports, National Insurance numbers, compensation documents, medical records or other highly sensitive information through the initial website form.

Why we use personal information

We may use information to respond to enquiries, provide or arrange support, manage events and programmes, communicate with partners, protect participants, respond to feedback or concerns, improve our services, meet legal duties and maintain appropriate organisational records.

Our lawful bases

Depending on the activity, we may rely on consent, steps connected with a contract, compliance with a legal obligation, our legitimate interests in responding to enquiries and running safe and effective services, or protection of vital interests in an emergency. Where special-category information is necessary, we will identify an additional lawful condition and explain this where appropriate.

Confidentiality and safeguarding

We treat personal information and support conversations sensitively and confidentially, with access limited to those who need the information for their role. We will not share information outside RenVocate unless there is a necessary, lawful and proportionate reason to do so. This may include a serious risk of harm, a safeguarding concern or a legal requirement. Wherever possible and safe, we will explain this before information is shared.

Who we may share information with

We do not sell personal information. We may share limited information with trusted service providers, delivery partners, safeguarding or professional support services, legal or regulatory bodies, or public authorities when this is necessary, lawful and proportionate. We will explain relevant sharing more specifically when a programme requires it.

Website and service providers

Our website is hosted by Netlify, which also processes contact-form submissions on our behalf. Secure providers may also support our email and website administration. Where a provider processes information outside the UK, we require an appropriate lawful safeguard under UK data-protection law.

How long we keep information

We keep information only for as long as it is reasonably needed for the purpose for which it was collected, including any legal, funding, safeguarding or appropriate record-keeping requirements. Information will be securely deleted or anonymised when it is no longer required.

Your rights

Depending on the circumstances, you may have rights to access, correct, erase or restrict the use of your information, object to processing, withdraw consent and receive certain information in a portable form. You may also raise a data-protection concern with the Information Commissioner’s Office at ico.org.uk.
